The Delegate of the Travel Agency is the local representant of the travel agency. The delegates work in the areas of the stay destinations of tourism. So while pronouncing the word DELEGATE, we immediately think about the delegates in Tunisia or Egypt, about the delegates in Greece and Turkey....simply said, we recall the delegates working at the sea destination during the summer.
But the delegate could work even in mountains. And the delegate doesn´t unevitably mean working in a foreign country, he could work in the Czech republic as well – for examle in Krkonoše, at Lipno or in any other destination.
From the summary mentioned above we can see that there are many places where the delegate could work.
But what does the delegate (or the local representant) do? The definitions say that the delegate provides the practical helps and processes the administrative agenda. But what does it means in the real life?
When you will probably meet your delegate?
In case of using the plane, the delegates wait for the clients at the arrival hall at the airport. You will recognise him by the sign and the name or logo of the Travel Agency, where you bought your holiday.The delegate will provide the information about the transport to the hotel. Some Travel agencies offer to clients the individual transport by cars. So the delegate shows to the clients where they could find the car or the bus that will take them to the hotel.
At the receptionist (in the hotel), it is the delegate who helps to his clients with the administration of the accomodation. That means the help with the filling in of the registration card, the translation of the questions of the receptionists (when the clients don´t know the language), pass them the keys from the hotel room or appartment. When the client in dissatisfied by the quality of the accomodation, he contacts the delegate immediately. (For example, the client may have ordered the room with the view on the sea and instead of that, he has the room with the view to the garden.)
After the arrival to the hotel, the clients meet the delegate, who expains them all the important information concerning the stay and the holiday.
The delegate places the current information on the info board. The information must be current and must contain the contact to the delegate and the hours when he provides the info.
The info hours at the hotel:
The delegate should have the info hours at each hotel and he should be present there in that time, so the clients could find him and disscus the requirements. In case of an emergency (the injury, theft and so on), the delegate will provide his services immediately.
The optional trips, the leisure activities:
The delegates offers to clients the optional trips according to the offer of his travel agency. He also advises to the clients how to pass their free time.
Dealing with the complaints:
If the client is dissatisfied, he should inform the delegate. The delegate tries to solve the problem with the hotel, restaurant and so on. If it isn´t possible to solve it, he fills in the Protocol of Complaint with the client. The delegate only fills in the Protocol, it is the Travel Agency who processes it.
The delegate provides the information about the return home – for example the time of the depart of the bus to the airport, the time when the tourists have to leave the rooms and many other important information.
The delegate is not a doctor, nor a psychoterapist, nor a hall porter, nor a driver. The delegate is a professional representative of the Travel Agency who takes care about the holiday and it is because of him that all the things work well. That means that the client can pass his holiday in terms as he ordered it.
